Master Calendar

Overview

It is now possible for events from one Events page (calendar) to be included on your other Event pages. This means that you will be able to have an event appear on multiple calendars but only need to add the event once. It also means you will only need to edit the event in one place and the changes will appear on the other calendars.

One common use of this feature for the creation of a  "Master Calendar" on the site. A calendar that includes all the events from the various calendars in your site.

How to include events from other calendars

1) When adding or editing an Event Page, there will be a section in the popup where you will see a list of all the other event pages on your site.

2) Check off the event pages with the Events you want to include on this event page. When you check off an event page on that list, all the events from that event page will be included on the Event Page you are adding/editing.

 

Color Coding Your Event Pages

When adding or editing an Event Page, you can also assign a color to it. By assigning a color to that event pages, any events from this Event Page will appear as that color.

  • This is especially useful when you have an Event Page that includes events from many different Event Pages. You will be able to tell which Event Page a specific event is from based on the color.

Editing Specific Events

If there is a particular event you want to appear or not appear on another calendar, you can set this when you add or edit an event.

1) When adding or editing the event, you'll see a list of event pages.

  • Note that the event page the event was created on is greyed out. This is because that event page is the event's origin page. The event can not be removed from that origin page without being deleted.
  • If you are NOT a site admin and you only have access to certain pages, the event pages you do NOT have access to will also be greyed out and unchangable. 

2) By checking or unchecking the event pages, you will be able to set which event pages this event will appear on.

FAQ

1) Will editable users (users that I have granted edit access to certain pages) be able to make changes to events or calendars they shouldn't have access to?

  • No. User can only make changes to pages they have access to.
  • If an editable user has access to an event page, they will be able to include events from other pages and have them appear on their calendar. However, unless editable user has access to the event's origin events page, they will not be able to make changes to the event. 
  • When an editable user is adding or editing event on their Event Page, they will only be able to push the event to event pages they have access to. Any event page they don't have access to will be greyed out and they won't be able to check or uncheck it.
  • If a site admin sets all the events from Event Page A to be included in Event Page B, an editable user with access only to Event Page A will not be able to override that. Any events the editable user creates on Event Page A will be included in Event Page B.

2) I created an Event Page that includes all the events from all the other Event Pages on my site and the calendar is very hard to read.

  • One way you can make it easier to read is to set different colors for each of the calendar pages (see above). This will color code you Event Page so you can tell which event is originally from which calendar.
  • If the issue is that there is just too many events on the page, you may want to consider splitting off into a number of different overview calendars instead of having one big one. For example, instead of having one master calendar for all the teams on your site, have two calendars. One Event Page that includes all the events from the youth teams and another Event Page that includes events from all the Adult teams.
